Full time Monday - Friday 1st Shift Position.
Position Summary The Corporate Administration Coordinator is responsible for a wide variety of administrative duties in support of the Chief Executive Officer and other senior members of the office.
Duties include but are not limited to, arranging Executive and Board of Director meetings, meeting minute-taking and distribution, scheduling appointments and drafting correspondence.
This individual is also responsible for general management of the Willowbrook office, ensuring supplies are available and building maintenance is complete.
It will be essential to interact with employees, management, and external stakeholders positively and professionally.
Essential Duties and Responsibilities The essential functions include, but are not limited to the following:
Administrative Support & Communications Conserves senior leadership's time by drafting letters and documents, collecting, and analyzing information, and initiating, creating, and disseminating meeting materials, and overseeing communications.
Act as a liaison and provide support to all executive staff.
Arrange and handle all logistics for meetings and events:
schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
Coordinates corporate events on and off site.
Develops and publishes quarterly newsletters.
Makes appointments, domestic and international travel arrangements, assembles packets of information and prepares materials including itineraries.
Complete a broad variety of administrative tasks that facilitate the CEO's ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists.
Supervise mail distribution within the office, and outgoing correspondence to our shareholder group.
Coordinates maintenance and vendors for the Willowbrook, IL office.
Meetings & Events Serve as the primary contact for meetings of the Board of Directors, Executive Committees, and Shareholders.
These meetings may require on-site coordination and travel.
Oversees event venue selection and request for pricing processes.
Assist with the coordination of travel, hotel planning, and catering logistics.
Reconcile invoices and keep budget for meetings.
Minimum Qualifications (Education, Experience, Skills) ? Bachelor's degree preferred, but not required.
? Ability to travel.
? Proficient in Microsoft Office ? Demonstrated strong verbal and written communication skills.
? Ability to anticipate and solve practical problems or resolve issues.
? Three
years of administrative assistant experience ? Experience in meeting and event planning.
? High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, and community leaders.
